Reporting to the Director of Educational Planning, provide general support to the Office of Educational Planning in all its areas of responsibility, and be particularly involved in activities related to institutional program review, program planning, and strategic planning.
Participate in meetings of office staff and work effectively as a team member. Respond to inquiries and communicate internally and externally on behalf of the Office. Assist in the production of high quality paper-based and electronic documents: draft correspondence, memos, announcements and reports; word processing, formatting, printing and distribution of final documents. Assist in data collection and presentation of quantitative data in spreadsheets, graphs and charts. Use scheduling software and other means to organize meetings of groups and committees; attend meetings and take and transcribe minutes as assigned. Responsible for coordinating meetings and travel arrangements to support multiple departmental program reviews annually, with both internal and external participants. In collaboration with other staff, maintain office web page, including updating content. Assist with the assembly of program performance information to support program reviews, including assisting with preparation and implementation of web-based surveys and data entry of questionnaire responses. Undertake project-oriented research. Office management duties: printing and duplicating, incoming and outgoing mail, build and maintain filing systems, archive records and documents, monitor subscriptions and memberships, maintain office supplies and equipment.
Bachelor's Degree in Business, Social Science, or related field from an appropriately accredited institution. Familiarity with the structure and range of programming at post-secondary institutions. Three to five years directly related work experience. Intermediate level word processing skills and demonstrated proficiency with spreadsheets and the presentation of quantitative data. Typing speed of 45 wpm. Experience with Microsoft Office software (Word, Excel, PowerPoint). Familiarity with Internet searches, web page maintenance, calendar and scheduling software and email. Ability to use basic business math. Excellent writing skills, including composition, grammar and spelling. Demonstrated ability to take minutes of complex meetings. Strong organizational skills and careful attention to detail. Ability to work in a collaborative team environment. Ability to be flexible and handle multiple work demands and shifting priorities. Positive attitude, sense of humour, strong interpersonal skills and the ability to communicate clearly, courteously and tactfully with a wide range of people.|
Familiarity with Vancouver Island University, its structure, programs and services. Knowledge of basic descriptive statistics. Knowledge of desktop publishing and web page maintenance software.|
