This position comprises the duties of; Program Assistant, Marketing and Sales, Admissions, Registration and Records. Be the key customer service contact for assigned programs within the Faculty of Trades and Applied Technology. Be responsible for all coordination, support, administration, admissions, registrations, records and scheduling for assigned programs. Programs are a mix of base and non-base funded. Play a key role in maintaining and enhancing student enrollments.
Coordinate and implement all operational aspects of the Faculty's programs and events. Work on the front-line for admissions, problem solving, using strong communication skills.
Although there are significant areas of repetitiveness, the tasks that are repeated are related to unique and individual student needs and require a significant degree of independent interpretation and implementation of the University's Policies and Procedures.
Work with the Program Chairs and Industry on Program Advisory Committee operations. As the Chair role will rotate through faculty, the Assistant will be a key support to provide continuity and initiative to strengthen Committee outreach.
In addition, the Assistant is a main point of contact with VIU for the public, current and previous VIU students, VIU faculty and their support staff and other personnel on campus. The work involves knowledge and familiarity with VIU technical systems, software and hardware; administrative processes; internal communication networks; registration processes; admission processes; Advising and Financial Aid policies and practices; and the workings of many external institutions.
Applied Business Technology, or equivalent, from an appropriately accredited institution. Three to five years recent relevant experience. An equivalent combination of education and experience may be considered. ability to accurately handle large volumes of time-sensitive, detailed information. Ability to manage deadlines, adhere to guidelines, problem solve independently, adapt to changing priorities and provide diplomatic and informed client services.
Senior-level proficiency with the MS Office with emphasis on Word, Excel, Outlook and needs to have a solid understanding of web editing software such as Adobe Contribute, web design and advertising copy.
Three to five years experience in a post-secondary environment.
Knowledge of VIU systems and processes such as SRS, SLED, FRS, Appointment system, SAWS and ITA Database.
A valid class 5 driver's licence with a satisfactory driving record (as specified in VIU Policy and Procedures).
