Education Technology Equipment Loans:
There are 2 sources for technology equipment loans: the VIU Library and the Education Technology Office. If you wish to book equipment from the library please refer to VIU Library Equipment for Loan. The Library has its own policies & procedures for equipment loans. For a list of the equipment available through the Faculty of Education's Education Technology Office, please see Equipment for Loan here. To borrow equipment from the Faculty of Education Technology Office, please refer to the Equipment Loans Policies and Procedures below.
Policies & Procedures
The Educational Technology office in the Faculty of Education provides an assortment of equipment for communal use by faculty, staff and students. This equipment is made available on the understanding that all individuals or groups using the equipment will follow these policies and procedures when borrowing equipment.
There are 3 steps to borrowing equipment from the Education Technology Office in the Faculty of Education. Please read the policy and procedure for each step:
Booking Equipment: Faculty
Equipment MUST be booked through the Equipment Loans Calendar prior to pick-up. This calendar is found in Outlook when you are on campus; the Equipment Loans calendar is not available via Web Mail Access. (Mac users must contact Heather.Burke@viu.ca or Kristine.Chyplyk@viu.ca to process bookings.)

Equipment Bookings Must:
- identify the equipment to be borrowed
- specify who is borrowing the equipment--please include the full name
- provide a contact phone number when booking for a student--please obtain current number directly from student
- specify the dates the equipment will be borrowed (from pick-up to return date)
Your scheduling should take into account the availability of support. The Educational Technologist responsible for the equipment, Julia Hengstler, is generally available Mondays, Wednesdays, & Thursdays from 8:30am-2:30pm. (NB: Due to purchasing choices, a large portion of the Education Faculty equipment is the sole support responsibility of the Faculty of Education's Educational Technologist. You may not rely on the IT Helpdesk.) In some instances, this may require more than one day’s lead time. All borrowers should budget sufficient time for a “dry run” prior to date of actual use. The rule of thumb should be, the more critical your reliance on the borrowed equipment, the more working days/time prior to actual use should be allotted for ensuring the equipment meets your needs. Loans may require the installation of software/other fixes prior to use, may require tapes/CDs/DVDs, batteries or recharging. Scheduling adequate time is vital to the Equipment Loans process; if it is not followed, borrowers may be left with non-functioning equipment at critical moments without support.
Should additional loan time be required during the loan period, it is the borrower’s responsibility to review the existing Equipment Loans calendar to ensure that neither a colleague nor a student is depending on the return of this equipment. If the equipment is free as per the Equipment Loans calendar, the borrower may “re-book” the equipment either by editing the existing loan entry or creating a new one.
Booking Equipment: Students
Equipment MUST be booked through the Equipment Loans calendar available in Outlook prior to pick-up. Equipment will not be released without prior booking. Only VIU Education Faculty & Staff may book items on this calendar. If you are a student and need to book equipment, you may either book this equipment via Heather.Burke@viu.ca or Kristine.Chyplyk@viu.ca in the Education front office ( Bldg. 356 Rm 266). You may also contact Julia.Hengstler@viu.ca (356-223). Before contacting Heather or Kristine, please identify the pieces of equipment you would like to borrow. The equipment available from the Education Faculty are found here.

Students who do not return equipment within the scheduled loan period may have their equipment borrowing privileges suspended.
Picking-Up Equipment
Equipment will not be released without a prior booking in the Equipment Loans calendar. Once booked, equipment may be picked up from Julia Hengstler in the Educational Technology Office in Bldg. 356 Rm. 223 during most weeks on Mondays, Wednesdays, & Thursdays from 8:30am-2:30pm. Please check-in with Julia to arrange your pick-up date & time. In the event that Julia is unavailable, equipment that has been booked may also be obtained through Heather Burke or Kristine Chyplyk in the Education front office ( Bldg. 356 Rm. 266).
All equipment to be borrowed should be reviewed by the borrower for problems, functionality, necessary logon information, necessary cables/chargers as well as compatibility with any accessories/peripherals by the borrower at least one working day prior to required use or upon pick-up whichever comes first..
Returning Equipment
All equipment must be returned directly to either the Educational Technologist, Julia Hengstler (Bldg. 356 Rm. 223; Mondays, Wednesdays, & Thursdays from 8:30am-2:30pm), Heather Burke (Bldg. 356 Rm. 266; Monday- Friday 8:30-4:00), or Kristine Chyplyk (Bldg. 356 Rm. 266; Monday- Friday 8:30-4:00). Equipment must be directly received by Julia, Heather or Kristine to be considered "returned". Do not rely on others to return your equipment on your behalf. Equipment must be returned on the date & time specified in your booking and in good working condition. Failure to return equipment on its due date may unfairly impact others depending on its timely return. (Should additional time be required during the loan period, it is the borrower’s responsibility to review the existing Equipment Loans calendar to ensure that neither a colleague nor a student is depending on the return of this equipment. If the equipment is free as per the Equipment Loans calendar, the borrower may “re-book” the equipment either by editing the existing loan entry or creating a new one.) If for any reason there is an issue with the equipment--be it lost pieces or poor working condition--you must report this upon return of the equipment to either Julia, Heather or Kristine. Lost or damaged equipment returned by students may be subject to fees.
