What is impacted: SRS and SLED; As our Finance systems are rolling over for the next fiscal year, both the Student Record System (SRS), and the Student Ledger (VIUWeb/Student aka SLED) will be offline.
Level of impact: Service Interruption. The above systems and tools will be unavailable during the maintenance period. The webpages for these tools will have a “Down for maintenance” message on them during the outage. All log-in sessions will be reset, so any unsaved changes may be lost. Everyone will have to sign back in once the outage is over.
Timing: Beginning at 2pm, Thursday, March 28. Ending at approximately 1pm, Monday April 1.
Preparation: Please have any changes in the above systems completed prior to 2pm, Thursday, March 28.

Update - UPDATE: The ArcGIS maintenance has been moved to later in the day, It will now occur from 5pm to 6pm, Thursday March 28.

Scheduled - What is impacted: ArcGIS Software and its extra components; We are installing and activating the annual license update for our ESRI ArcGIS software.
Level of impact: Service Interruption. The ArcGIS software and its components will be unavailable during the Maintenance period. If you are in the software at the time a license expired message may appear, and you may be unable to save your work.
Timing: 12pm to 1pm, Thursday, March 28.
Preparation: Please save your work and exit the software before the maintenance begins.

What is impacted: IT Client and Ticket Portals; Every Friday our vendor performs maintenance on the servers hosting the IT Ticket System (https://ithelp.viu.ca) and the IT Client Portal (https://technology.viu.ca).
Level of impact: Service Interruption. Employees will be unable to access the above sites/services during the maintenance window.
Timing: 9pm to 12:00 am, every Friday.
Preparation: None required. If you need to submit an IT Request during the maintenance window please e-mail ithelp@viu.ca. Once the maintenance is complete, an IT request will automatically be created based on your e-mail and you will be e-mailed a ticket number.

What is impacted: Removal of Microsoft Project from VIU devices; With the license for Microsoft Project software expiring, the software will be uninstalled from VIU Devices.
Level of impact: Service Interruption. Because of the nature of Microsoft Office, it will close all Office apps prior to uninstalling Project.
Level of impact: Service Interruption. Because of the nature of Microsoft Office, it will close all Office apps while it is uninstalling MS Project.
Timing: Beginning 10pm, Sunday, March 30. Continuing until all copies of Microsoft Project have been removed.
Preparation: VIU Desktop computer users: Please save your work and log out of your computer at the end of the day on the Thursday, March 28. Do not shut down your computer or it will not uninstall the software overnight.
VIU Laptop computer users: Save your work and sign out of your laptop. Leave it powered on, but not signed in to, on the evening of March 30. Log into your device on Tuesday, and before opening any software check to see if Project is still installed. If it is, look for the Microsoft Project 2019 option in the Company Portal app and click Uninstall and confirm you want to uninstall the application. The pop up may look like it is uninstalling all your MS Office apps, but it is only uninstalling Project.

Level of impact: No Interruption. While no outage is expected, saving content during this timeframe within the Drupal platform may be slower.
Timing: 10am to 3pm, every Tuesday.

Scheduled - What is impacted: VIU Employee Portal and related tools; Our vendor is installing updates and performing maintenance on the systems that host our VIU Employee portal. This impacts tools accessed by the portal including HRIS, FIS and Procurement tools, among others.
Level of impact: Service Interruption. During the maintenance period the Employee Portal and related tools will be unavailable.
Timing: 12am to 4am, Thursday, March 28.
Preparation: If needed, please plan to use the Employee Portal outside of the Maintenance Period.

Scheduled - What is impacted: VIU Hosted Network Storage; Our team will be installing updates to the server that manages the various VIU hosted network storage. This includes Departmental Shares, as well as VIU computer account U-Drives, Desktop, and Documents Folders.
Level of impact: Service Interruption. During the maintenance window, the update process will cause several disconnections to occur. These disconnections will occur 4 times, lasting anywhere from 10 seconds to 5 minutes before reconnecting. When these disconnections happen, access to and the saving of files to the above locations will be interrupted.
Timing: 5pm to 7pm, Wednesday, March 27.
Preparation: Please save your work and sign out of your computer when you leave for the day. Do you need to access and work on files from the network shares listed above during the maintenance window? Please copy the files you need to your device or OneDrive. Continue to work on the copy until the maintenance window is complete. Please remember to copy your files back to the network share afterwards

Scheduled - What is impacted: CAPITAN Share Mappings; Our team will be installing updates to the system that hosts access to CAPITAN network shared drives.
Level of impact: Service Interruption.
Timing: 5pm to 8pm, Thursday, March 21.
Preparation: We recommend employees re-map any network share drives mapped using the legacy path \\capitan.mala.bc.ca\ over to \\viu.int.viu.ca\ which will not be impacted by this change. Instructions on how to map drives can be found in our knowledge base articles at technology.viu.ca
Eventually the CAPITAN domain will be decommissioned, and making this change now will save you time in the future.

Scheduled - What is impacted: VIU Networks and Internet connection; Our Internet Service Provider will be performing maintenance on their network infrastructure.
Level of impact: Service Interruption. Access to the VIU network (on-site or remotely) and internet may become unavailable for up to 15 minuets during the maintenance window. This outage will impact Remote Desktop sessions, internet browsing, accessing network share drives, and onsite printing for both employee and students.
Timing: 1am to 5am, Thursday, March 21.
Preparation: Please save any shared folder data or remote files you may be working on prior to 1am. If internet connectivity is important to your work during this time, please plan your tasks outside of the maintenance window.

Scheduled - What is impacted: All wireless networks at VIU; VIU IT is updating the server that handles Wireless and GlobalProtect VPN authentication. This will impact anyone connecting to, or using, our onsite wireless networks (VIU-Guest, VIU-Secure and Eduroam) or connecting remotely via GlobalProtect VPN.
Level of impact: Service Interruption. There will be a 2-hour period during the maintenance window where no one will be able to sign into VIU-Guest, VIU-Secure or Eduroam wireless networks. You will also not be able to sign into GlobalProtect VPN. Your devices occasionally check in with the server to authenticate/renew your access. If that occurs during the 2-hour period, you will find your device is no longer connected to the network/VPN.
Timing: 5pm to 11:59pm, Wednesday March 13.
Preparation: For users on-site: if it is critical, you have a network connection during the maintenance window, we recommend using a device that is physically connected to the network. For remote users, saving a local copy of your work prior to the outage window is recommended.
